INTRODUCTION

SoftGroup® OneLAB is a laboratory data management system for efficient storage, management and reviewing of laboratory instruments data. The system distributes one set of necessary files to each laboratory instrument before the analysis including templates, methods, sequences, etc. After completion of the analysis, it collects result data from the instruments and stores it in one centralized database. The system supports HPLC, GC and dissolution instruments.

FUNCTIONALITIES

  • Data and documents management – The system distributes one set of necessary files to each laboratory instrument before the analysis including templates, methods, sequences, etc. After completion of the analysis, it collects result data from the instruments and stores it in one centralized database
  • Configuration – Different laboratory instruments can be added and configured in the system
  • Audit Trail – The system supports audit trail of the user operations
  • Reports – The system generates reports regarding the products analyzed by different laboratory instruments for a given period of time
  • Results verification – The result data for the different laboratory instruments can be reviewed after the lab assistants prepare the analytical results and save them on the server

Logical Structure

SoftGroup® OneLAB is a client-server product, which consists of two parts:

  • SoftGroup® OneLAB Server contains the application for administration of the system, the database, instruments data and templates
  • SoftGroup® OneLAB Client is the client interface for working with the product

 

Minimum requirements for normal functioning of the system are:

  • One installation of SoftGroup® OneLAB Server application as well as a number of client licenses equal to the number of the work stations, which will be connected to the system (for TEST environment)
  • One installation of SoftGroup® OneLAB Server application as well as a number of client licenses equal to the number of the work stations, which will be connected to the system (for PROD environment)
  • Database installation on the SoftGroup® OneLAB Data Server (for TEST database, PROD database, instruments data and templates)
  • Availability of local area network (LAN) in the laboratory

The workstations and the servers are connected to the LAN. SoftGroup® OneLAB Client is installed оn each workstation and the levels of access rights are set for the relevant employees. The database server maintains the database, stores all information and executes the current data exchange among different parts of the system in real time.

SoftGroup® OneLAB Server

SoftGroup® OneLAB Server contains the administrative part of the system. It has the following functions:

  • Defines all instruments
  • Defines all PCs
  • Sets connections between instruments and PCs
  • On-line monitoring of the systems in the laboratory
  • Shows on-line status of all instruments in the laboratory (working/free/calibration/technical failure)
  • Gives statistical data for instrument usage based on date period
  • Allows printing of statistical information
  • Graphical user interface for on-line presentation of equipment status
  • Allows exporting of statistical data to Excel

SoftGroup® OneLAB Client

SoftGroup® OneLAB Client is the client interface for working with the system. It is installed on the work stations (PC1, PC2, etc.) and is used for communication between the different instruments (HPLC Type 1, HPLC Type 2, HPLC Type 3, GC, SOTAX, etc.) and the centralized data server. The user can also review the result data after completion of the analysis.

DATA SECURITY AND CENTRAL ACCOUNT MANAGEMENT

SoftGroup® OneLAB secures data through controlled access to files and functions specified by the system administrator. Login is mandatory, with an authenticated user ID and password. It simplifies security management by assigning users to typical laboratory roles and responsibilities. Centralized account and instrument management reduce the time needed to configure new instruments and add users because there is no need to replicate these tasks on each workstation.

LOW COST OF OWNERSHIP AND FLEXIBLE, FAST DEPLOYMENT

SoftGroup® OneLAB is easy and affordable to deploy, administer and maintain. IT support is only needed to implement and maintain the network itself. The system can even be deployed in just a day if all the requirements are met. SoftGroup® OneLAB is designed to work with or without customization, depending on customer’s needs and preferences.

FULLY TRACEABLE TRACKING LOG

SoftGroup® OneLAB captures, tracks, and secures all files including master methods, sequences, and report templates with a complete revision history and tracking log. This functionality keeps information for the user activities and can be visualized by authorized operators. Every change, insertion or deletion of data is logged. The tracking log records any changes, storing updates as revisions allowing for easy review with complete traceability. These capabilities can dramatically reduce the time spent gathering information for an investigation.

INFORMATION IS EASY TO STORE, FIND AND SHARE

The database provides a centralized way to organize, store, search and retrieve different types of files, including the data, methods, sequences and reports. There is no limitation for the number of supported laboratory instruments. As a result, data and documents are easy to find and share.

MINIMIZES PAPER DOCUMENT MANAGEMENT AND REWORK

Many laboratories recognize the value in transitioning from paper-based to electronic processes and records. SoftGroup® OneLAB offers many features to aid in the transition to a paper-less system. The software’s electronic forms and records significantly reduce rework due to transcription errors, illegible or incomplete forms.
